Refund and Cancellation Policy

Our policy regarding subscription cancellations, refunds, and service credits for Origin8.AI customers.

1. Subscription Billing Cycles

1.1 Available Plans

Origin8.AI offers the following subscription billing cycles:

  • Monthly subscription plans (billed each calendar month)
  • Annual subscription plans (billed annually)
  • Free trial periods (where applicable)
  • Usage-based billing plans (charged monthly in arrears)

1.2 Billing Timeline

Recurring subscriptions automatically renew at the end of each billing cycle. You will be charged the current subscription price at the start of each new billing period.

2. Cancellation Procedures

2.1 How to Cancel

To cancel your subscription, you may:

  • Cancel through your account dashboard in the Settings or Billing section
  • Contact our support team at billing@origin8ai.co
  • Request cancellation via written communication to our legal team

2.2 Effective Date

Cancellation requests are effective:

  • Immediately upon request, or
  • At the end of the current billing cycle (if you request to continue service until then)

2.3 Cancellation Confirmation

You will receive a cancellation confirmation email. Please retain this for your records.

3. Refund Eligibility

3.1 Refundable Circumstances

Refunds may be considered in the following circumstances:

  • Service quality issues or significant service interruptions
  • Billing errors or duplicate charges
  • Unauthorized charges
  • Cancellation within the 14-day trial period

3.2 General Policy

Subscription fees for completed billing periods are generally non-refundable. However, you will not be charged for future billing periods after cancellation.

4. Monthly Plans

4.1 Cancellation Refunds

Monthly subscription payments are non-refundable. Upon cancellation, you maintain access to the service until the end of the current billing month.

4.2 No Pro-Rata Refunds

No pro-rata or partial refunds are provided for mid-month cancellations. You retain full access through the end of your billing period.

5. Annual Plans

5.1 14-Day Money-Back Guarantee

If you are unsatisfied with Origin8.AI within 14 days of purchasing an annual subscription, you are entitled to a full refund. This guarantee applies only to first-time annual subscribers.

5.2 Request Process

To request a refund within the 14-day period, contact billing@origin8ai.co with your order number and reason for the refund request.

5.3 After 14 Days

After the 14-day period, annual subscription fees are non-refundable. However, we offer the option to apply pro-rata service credits toward future usage.

6. Pro-Rata Refunds

6.1 Service Credit Option

If you cancel an annual plan after the 14-day period, we may provide a service credit equal to the unused portion of your subscription, calculated on a pro-rata daily basis.

6.2 Calculation Method

Pro-rata credits are calculated as:

Annual Fee × (Remaining Days / 365 Days)

6.3 Credit Usage

Service credits may be applied toward future subscriptions or services. Credits do not constitute payment to you and cannot be converted to cash.

7. Service Credits

7.1 Service Disruptions

In the event of significant service disruptions or downtime, Origin8.AI may issue service credits as compensation, based on the severity and duration of the outage.

7.2 Credit Terms

  • Credits are non-transferable and non-exchangeable
  • Credits expire after 12 months if unused
  • Credits cannot be combined with other discounts without approval
  • Credits must be used for service purchases only

8. Non-Refundable Fees

The following fees are non-refundable:

  • Setup or implementation fees
  • Professional services or consulting fees
  • Training or onboarding services
  • Usage-based overages beyond subscription limits
  • Late fees or penalties

9. Free Trial Period

9.1 Trial Eligibility

Free trial periods are available to new customers only. One free trial account per person or organization.

9.2 Trial Cancellation

Cancel before the trial expires to avoid being charged for the first subscription period. No payment is required if cancelled during the trial period.

9.3 Trial Terms

Trial accounts have the same terms and restrictions as paid accounts. All data and usage are subject to our standard terms.

10. Enterprise Plans

10.1 Custom Terms

Enterprise customers may have custom refund and cancellation terms negotiated as part of their service agreement. Those terms supersede this policy.

10.2 Contract Review

Please refer to your enterprise agreement for specific refund eligibility and cancellation procedures. Contact your account manager for clarification.

11. Refund Processing

11.1 Processing Timeline

Approved refunds will be processed within 5-10 business days. Additional time may be required depending on your financial institution.

11.2 Refund Method

Refunds are issued to the original payment method. Please allow additional time if your payment method has changed or been closed.

11.3 Refund Status

You will receive an email confirmation of your refund with details and expected processing date.

12. Disputes and Appeals

12.1 Refund Disputes

If you believe a refund was improperly denied or if you have questions about a refund decision, please contact our billing team with supporting documentation.

12.2 Appeal Process

Appeals will be reviewed within 10 business days. A member of our finance team will respond with a determination and explanation.

12.3 Chargeback and Dispute Procedures

Filing chargebacks or disputes with your payment processor may result in account suspension. We encourage contacting us directly before pursuing payment disputes.
